Location Data & Tracking Policy

  1. Purpose of Collection

    To facilitate a seamless closing experience, CloseClear collects real-time geolocation data from Notaries once they begin transit to a scheduled appointment. This data is used exclusively to:

    Notify the Signer that the Notary is en route.

    Provide an accurate Estimated Time of Arrival (ETA).

    Enhance safety and transparency for all parties involved in the transaction.

  2. Visibility and Access

    Location tracking is active only during the "En Route" phase of a scheduled appointment.

    Signer Access: The Signer can view the Notary's progress via a secure, unique link or within the CloseClear app.

    Internal Use: Data is monitored by CloseClear systems to ensure service reliability and to provide support in the event of delays.

  3. Data Retention and Deletion

    We believe in "Privacy by Design." Your movements are not stored longer than necessary for the completion of the service.

    Automatic Removal: Once the Notary reaches the designated appointment location, the live tracking link expires.

    Public/Signer Purge: All granular location history and real-time tracking data are permanently removed from public-facing interfaces and Signer access two (2) hours after the Notary arrives at the destination.

    Archival: CloseClear may retain a simplified record of arrival time for audit and billing purposes, but specific GPS coordinates and breadcrumb trails are purged from our active databases in accordance with our data minimization schedule.

  4. Notary Controls

    Notaries have the right to disable location services within their device settings; however, doing so may limit the ability to use the CloseClear platform, as real-time ETAs are a core requirement for our service standards.

  5. Information Collection, Use, and Sharing

    We are the sole owners of the information collected on this site. We only have access to/collect information that you voluntarily give us via email, web form, or other direct contact from you. We will not sell or rent this information to anyone. We will use your information to respond to you, regarding the reason you contacted us. We will not share your information with any third party outside of our organization, other than as necessary to fulfill your request. Unless you ask us not to, we may contact you via email in the future to tell you about new products or services or changes to this privacy policy.

  6. Your Access to and Control Over Information

    You may opt out of any future contacts from us at any time. You can do the following at any time by contacting us via the email address or phone number provided here.

    Change/correct any data we have about you.

    Have us delete any data we have about you.

  7. Security

    We take precautions to protect your information. When you submit sensitive information via the website, your information is protected both online and offline. Wherever we collect sensitive information, that information is encrypted and transmitted to us in a secure way. You can verify this by looking for a lock icon in the address bar and looking for "https" at the beginning of the address of the web page. While we use encryption to protect sensitive information transmitted online, we also protect your information offline. Only employees who need the information to perform a specific job (for example, billing or customer service) are granted access to personally identifiable information. The computers/servers in which we store personally identifiable information are kept in a secure environment.
